Rules & Terms of Entry

Host Clubs 
1.    Host clubs agree to publicise and promote the Sapphire League.
a.    Include the phrase “incorporating the Sapphire League” in the title and licence application.
b.    This means sending out the Jotform entry link (above) to competing registered athletes.
c.    Including Sapphire League in the pre-meeting marketing material.

Entry details
2.    Entry to the Sapphire League is open to all U17, Senior and Masters athletes registered with EA.  
a.    This means that athletes in the age groups below these U15 and U20, can register, but for field events their performances must be at the higher weight categories.  
b.    Track events will be based on the allocated timed performance for each race distance. 
c.    The events covered for 2025 are;
i.    In the Under 17 Age group; M&W     3k, 800, 200, 100, LJ, HJ, Disc, Shot, Jav 
ii.    In the Senior Age Group; M&W    3k, 800, 200, 100, LJ, HJ, Disc, Shot, Jav 
iii.    Masters events M&W        1500, 100M, LJ, Disc
iv.    U11 Kids Multi Challenge (KMC) or Quad Kids -  Male and Female 
v.    This means in total 46 events will be covered with the potential of 46 prizes.

3.    Athletes must have entered 3 of the South West Open series meetings to qualify for a trophy. 
a.     The Open Meeting Series will be determined by those SW clubs willing to hold open meetings and to advertise the scheme.  
b.    The Series will be promulgated at the SW Sapphire League website or by Social Media in the interim.
c.    For 2025 the confirmed “South West Open Series” meetings are shown at Para 4.

b.    Poole John Gregory Memorial Open 5th April 2025  
c.    Yeovil Open 19th April 2025
d.    Yeovil Open 21st April 2025
e.    Exeter Evening Open 29th April 2025
f.    Yate Sprints and Hurdles 13th April 2025
g.    Exeter Ken Trickey Open 13th 2025 
h.    Newquay and Par Clive Marsh Spring Open Meeting 17th April 2025 
i.    Gloucester Brewer Memorial Games 5th May 2025 
j.    Exeter Evening Open 27th May 2025
k.    Plymouth Devon Open 8th June 2025  
l.    Cornwall AC (Par Athletics Track) - Duchy Open 22nd June 2025 
m.    Exeter Evening Open 24th June 2025
n.    Yeovil Evening Open 26th June 2025

SUBJECT TO CHANGE

5.    Entry to the Sapphire League is via Jotform with payments made via Square only.  
a.    The ENTRY JOTFORM LINK 2025 will be made available on social media and by the event organiser.
b.    The data collected via Jotform will be managed by YOAC, (iCO registered).
c.    The entry fees for 2025 will be;
i.    £10 for one discipline for the entire series (eg for Discus at all meetings) 
ii.    £15 for two disciplines for the entire series (eg for Discus, and 800m at all meetings) 
iii.    £20 for three disciplines for the entire series (eg for Discus, 800m and Long Jump at all meetings)
iv.    £10 for KMC and QK 
(you still have to enter the meetings directly with the club concerned)
d.    Additionally;
i.    For the sake of these rules an event is defined as one individual competition start.  
ii.    The definition of a meeting within these rules is a competition held at a venue on a specific day.  
iii.    A discipline is an event conducted at each meeting.

6.    The entry payments are used for the provision of prizes in each category which will be either cash or a trophy depending on sponsorship, or the level of interest gained by the number of athletes taking part. 
a.    YOAC handle the entry fees on behalf of the Sapphire League on a zero profit basis.  
b.    Only fees charged by Square payment system will be deducted from the League income.  All other income will be used for awards.  
c.    These fees are 1.4% plus 25p per transaction.  
d.    As ”Square” do not refund their costs entry fees can not be refunded. 


Rules 
7.    All events will be conducted under UKA rules.
a.    Results will be extracted from Power of 10 website.
b.    In the event of a tie or missed result the committee will determine the outcome.
